TERMS & CONDITIONS

By joining Aquila Taekwondo, you agree to the following Terms and Conditions. These are in place to uphold the quality, safety, and integrity of our club for all members, students, and families.

1. Free Trial Lesson

  • Each new student is entitled to one (1) free trial class.

  • A valid Direct Debit must be set up before attending further classes.

2. Membership & Fees

  • Membership fees are payable monthly via Direct Debit.

  • Fees contribute to insurance, instructor costs, venue hire, and general club operations.

  • Membership is based on 49 weeks of training annually, accounting for brief club closures and holidays.

3. Direct Debit Policy

  • A valid Direct Debit must be maintained at all times.

  • Failed transactions will incur a £5 administrative fee per failed attempt.

  • Persistent non-payment may result in membership suspension and/or referral to a third-party collection agency.

  • If Direct Debit is cancelled and the member wishes to rejoin, a new membership fee may apply.

4. Cancellation Policy

  • One (1) full calendar month’s notice is required in writing to cancel membership.

  • Notice must be submitted via email to the official club contact address.

5. Membership Pauses

  • Pausing membership is not permitted except in exceptional circumstances and at the discretion of Aquila management.

  • Returning after an unauthorised break may reset your attendance record.

6. Missed & Cancelled Classes

  • If a class is cancelled by the club, a make-up class will be offered.

  • Make-up classes must be taken within one (1) month, otherwise they are forfeited.

  • Refunds are not issued for missed classes due to holidays, illness, or personal circumstances.

7. Uniforms & Equipment

  • All equipment and uniforms must be purchased through Aquila Taekwondo.

  • This ensures compliance with our safety, grading, and competition standards.

  • Unapproved gear may not be permitted in class or at events.

8. Code of Conduct

Student Code of Conduct

Students agree to:

  • Treat instructors, peers, and visitors with respect and kindness.

  • Arrive punctually and fully prepared for all classes.

  • Wear the correct uniform and safety gear at all times.

  • Follow instructor guidance and adhere to all safety protocols.

  • Commit effort and dedication to their training.

Parent/Guardian Code of Conduct

Parents/guardians agree to:

  • Support their child’s training journey and the values of Aquila.

  • Communicate respectfully with instructors, staff, and other families.

  • Avoid disruptive behaviour, including verbal aggression, interference with classes, or confrontations with other parents.

  • Ensure timely arrival and collection of their child.

  • Fulfil financial obligations as outlined.

Behavioural Disruptions

  • Any behaviour—by student or parent—that poses a risk, causes disruption, or disrespects staff or members may result in disciplinary action including temporary suspension or termination of membership.

9. Media & Communication Consent

  • By joining Aquila Taekwondo, you consent to receive communications via email, text, or phone regarding classes, events, and payments.

  • You consent to the use of photography and video for marketing, training, or promotional purposes on Aquila Taekwondo platforms. You may withdraw this consent in writing at any time.

10. Health Declaration & Assumption of Risk

  • You confirm that you (or your child) are physically fit and capable of safely participating in martial arts training.

  • You agree to disclose any medical conditions or injuries that may affect participation.

  • By participating in Taekwondo classes or events, you acknowledge and accept the risks inherent in martial arts training, and release Aquila Taekwondo, its instructors, staff, and venues from liability for any injury, loss, or damage sustained, unless caused by proven negligence.

11. Amendments to Schedule

  • The club reserves the right to change class times, venues, or instructors when necessary. Notice will be given where possible.

12. Termination of Membership

  • Aquila Taekwondo reserves the right to terminate membership in cases of:

    • Repeated payment failure

    • Persistent disruption or misconduct

    • Violation of these Terms & Conditions or the Code of Conduct

13. Data Protection & Privacy

  • Personal data is handled in accordance with the UK GDPR and the club’s Privacy Policy (available on request or via our website).

  • Data may be retained for up to 6 years following termination of membership for legal, insurance, or safeguarding purposes.
