
TERMS & CONDITIONS
Aquila Taekwondo – Terms & Conditions
By joining Aquila Taekwondo, all members, parents/guardians, and visitors agree to the following Terms & Conditions. These policies are designed to ensure safe, fair, and consistent training for everyone while protecting the integrity of our club.
1. Free Trial

Each new student is entitled to one free trial class.

Following the trial, a valid Direct Debit must be set up before attending further classes.
2. Membership & Annual Fee
-
Membership with Aquila Taekwondo is £90 per year, payable annually.
-
This covers insurance, registration with the club, an Aquila-branded kick pad, and access to events and training sessions.
-
The annual fee is non-refundable and must be kept up-to-date for continued training.
3. Subscriptions & Payments
-
Monthly subscriptions are paid via Direct Debit:

£44/month – 1 session per week
-
£54/month – 2 sessions per week
-
£64/month – 3 sessions per week
-
£75/month – Unlimited sessions
-

A valid Direct Debit must be maintained at all times.
-
If payments are missed, Aquila reserves the right to suspend training until the account is settled.
4. Failed Payments & Debt Recovery
-
A £10 processing fee will be applied for each failed transaction.
-
Repeated failed payments may lead to membership termination.
-
Aquila reserves the right to use a debt collection agency to recover unpaid fees, with all associated costs charged to the member.
5. Cancellations, Pauses & Rollovers
-
One calendar month’s written notice is required to cancel or amend a subscription. Any payments due within the notice period will still be collected.
-
If a membership is paused or cancelled, all rolled-over classes will be forfeited and attendance records reset to zero.

Missed class rollovers are valid for up to 2 months, provided membership remains active.
-
Rollover classes are a goodwill gesture and cannot be exchanged for cash or used as credit.
6. Rejoining Fees
-
If membership lapses due to a cancelled Direct Debit, a rejoining fee (equal to the current registration fee) will apply.
7. Uniform, Clothing & Equipment
To ensure consistency, safety, and pride in training:

Uniforms: Required for all members and for gradings. Prices start at £40.

Aquila Clothing: Optional team wear such as T-shirts, hoodies, and tracksuits, from £20.
-
Training & Equipment: All uniforms, kick pads, and sparring equipment must be purchased through Aquila.

Dress Code:
-
Aquila Taekwondo uniform is the priority attire.
-
Aquila T-shirt and Taekwondo trousers may be worn in class for training only.
-
Non-branded Taekwondo uniforms are not permitted.
-
Sportswear is only allowed for trial lessons.

8. Sparring Classes Policy

Eligibility
-
Students may only attend sparring classes if they have the required Aquila membership, subscriptions, and insurance in place.
-
Instructors reserve the right to decide if a student is ready to participate in sparring based on attendance, attitude, and skill level.

Protective Equipment
-
Continued attendance at sparring classes requires students to purchase their own full protective kit through Aquila.
-
Aquila may provide a small number of body armours for borrowing, but these are reserved for new students trialling sparring only and cannot be relied upon for regular training.

Mandatory equipment includes: head guard, gum shield, chest protector, arm guards, shin guards, gloves, groin guard (males), and electronic socks if required.
-
Students without the correct protective kit will not be permitted to take part.

Conduct & Safety
-
Students must show control, discipline, and respect at all times during sparring.
-
Unsafe or aggressive behaviour may result in removal from the class.
-
Instructors have the right to stop any bout if safety standards are not met.
-
Parents and spectators must not coach during sparring sessions. Only Aquila coaches may provide coaching and instruction.

Parental Responsibility

Parents/guardians must ensure their child’s protective equipment is brought to every sparring class.
-
Students without the required equipment will not be allowed to participate, and no refunds will be issued for missed classes.

9. Code of Conduct
Students must:
-
Show respect to instructors, peers, and visitors.
-
Arrive on time, ready to train, with the correct uniform and equipment.
-
Follow instructor guidance and safety rules.
-
Train with effort, focus, and discipline.
Parents/Carers must:
-
Communicate respectfully with staff and other families.
-
Avoid disruptive or confrontational behaviour.
-
Ensure students attend regularly and are collected promptly.
-
Fulfil financial obligations on time.
Any form of bullying, aggression, or disrespect (from students, parents, or visitors) may result in suspension or immediate termination of membership.
10. Refund Policy

Membership fees, subscriptions, and equipment purchases are non-refundable, except where legally required (e.g. faulty goods).
-
Refunds are not issued for missed classes, short-term closures, or rescheduled lessons.
11. Competitions, Events & Overnight Stays
-
Competition Entry
-
All competition entries are managed and submitted by Aquila Taekwondo.
-
Payment for competition fees must be made to Aquila in full before your entry is confirmed.
-
Once submitted to the organiser, fees are non-refundable, regardless of withdrawal or non-attendance.

Club Discretion
-
Aquila reserves the right to decide which students are entered into competitions based on readiness, attendance, behaviour, and safety.
-
Students must meet the required uniform, equipment, and performance standards before being entered.

Coaching Fees
-
Where additional coaching or team support costs apply, these will be notified in advance and must be paid by the stated deadline.

Travel & Accommodation
-
For competitions requiring overnight stays, Aquila will arrange hotel bookings for each family. Each family will be allocated their own room, and costs are payable directly to Aquila by the stated deadline.

Parents/guardians remain responsible for their children during overnight stays unless specific safeguarding arrangements have been agreed in advance with Aquila.

Families are responsible for travel to and from the venue, unless Aquila notifies members of group travel arrangements.

12. Competition Code of Conduct
To ensure that Aquila Taekwondo maintains the highest standards at all events, the following rules apply to all students, parents, and supporters attending competitions:

Representation

All athletes must wear the correct Aquila uniform and/or team wear when competing or representing the club.

Only approved Aquila coaches may provide coaching during competitions.
-

Behaviour & Respect
-
Athletes, parents, and supporters must treat referees, organisers, officials, and other clubs with respect at all times.
-
Unsportsmanlike behaviour (e.g. arguing with referees, disrespecting competitors or coaches) will not be tolerated.

Parents/supporters must not coach from the sidelines or interfere with matches.

Punctuality & Readiness
-
Athletes must arrive at the event on time, fully prepared with the correct equipment.
-
Failure to bring the required uniform or sparring equipment may result in withdrawal from the competition without refund.

Club Reputation
-
All participants represent Aquila Taekwondo when attending competitions. Any behaviour that damages the reputation of the club may result in disciplinary action, including suspension or termination of membership.

13. Media & Photography
-
By joining, members consent to Aquila using photography and video for training, promotional, and marketing purposes.
-
Consent can be withdrawn at any time by notifying the club in writing.
-
Parents/visitors must not film or photograph classes without prior permission.
14. Health & Safety

Members confirm they are medically fit to participate and must disclose any health conditions or injuries.
-
Martial arts training carries an element of risk. By joining, members accept these risks and agree that Aquila Taekwondo is not liable for injuries, accidents, or loss of personal belongings, unless caused by proven negligence.
15. Force Majeure
-
Aquila Taekwondo is not liable for disruptions caused by events beyond our control (e.g. venue closures, government restrictions, extreme weather, or emergencies).
16. Data Protection
-
Aquila complies with UK GDPR.
-
Personal data is stored securely and only used for class management, communication, and safeguarding.
-
Essential updates will be sent via email, text, or phone. Marketing communications are optional (opt-out available).
-
Data may be retained for up to six years after membership ends for legal, insurance, or safeguarding purposes.
17. Amendments
-
Aquila reserves the right to update these Terms & Conditions as necessary. Members will be notified of significant changes.
